The Polish Hospice “Ojca Pio” has long been dedicated to providing compassionate and professional home medical care. However, managing mobile healthcare services efficiently presented a challenge that required a modern, digital approach. Our team developed a comprehensive platform that would streamline patient care, optimize operational workflows, and ensure compliance with medical regulations.

Understanding the Challenge

The hospice needed a system that would seamlessly integrate all aspects of mobile patient care, from patient enrollment and medical record management to staff coordination and financial operations. The goal was to create a digital tool that could serve multiple user roles—medical caregivers, nurses, and administrators—while remaining intuitive and easy to use in a fast-paced healthcare environment.

Over the course of one year, a dedicated team of specialists brought this vision to life. Our team included a tech lead, backend and frontend developers, a designer, and specialists in DevOps and Scrum management. Together, we crafted a solution that would revolutionize the way the hospice managed its services.

The development process began with a deep business analysis, defining the project scope and identifying key pain points. From there, we worked closely with the client to refine the design, incorporating feedback at every stage to ensure a user-friendly and efficient interface. Implementation and deployment followed, with thorough training sessions to onboard medical staff and administrators, ensuring a smooth transition to the new system. Even after deployment, our team remained actively involved, providing ongoing maintenance and support.

A Solution Tailored to Healthcare Needs

The result was a role-based system that catered to the unique needs of each user type. Medical caregivers and nurses received access to carefully curated tools that simplified their daily tasks, reducing administrative burden and allowing them to focus on patient care. Administrators gained control over workforce management, scheduling, and financial operations, all from a single platform.

One of the most impactful features was the ability to define personalized Medical Care Plans. Using predefined templates, nurses could quickly establish care plans tailored to individual patients’ needs, ensuring consistency and quality in treatment. A task-oriented approach provided caregivers with clear visibility into daily responsibilities, while real-time updates allowed for seamless coordination between team members.

Seamless Integration and Automation

Patients could enroll in the program via phone or online forms, making access to care more convenient. The platform also introduced an automated payment system through PAYU integration, ensuring transparency in financial transactions. From tracking payment histories to extending treatment plans, the system removed the complexity of manual processing.

Security was a top priority throughout development. We implemented robust compliance measures, safeguarding sensitive medical data with multi-layered security protocols. The infrastructure ensured both reliability and adherence to industry regulations.

Enhancing the Medical Staff’s Experience

For nurses and caregivers, the platform provided a tablet-optimized interface designed for ease of use during patient visits. The system required minimal manual input, with many processes pre-configured to reduce administrative workload. However, when necessary, caregivers could add detailed medical notes and updates, ensuring comprehensive and accurate patient records.

Each patient received a customized Medical Care Plan, built upon initial assessments and refined through ongoing treatment. During visits, nurses documented progress directly into the system, updating electronic medical records such as the Care Card. With a clear dashboard displaying scheduled tasks and objectives, healthcare providers could efficiently track patient progress and deliver personalized care.

Bringing Transparency to Patients and Caregivers

The new platform also provided patients and their families with greater transparency. Through a secure portal, they could review treatment history, upcoming visits, and medical recommendations, ensuring they remained informed and engaged in the care process.

For hospice administrators, the system automated workforce tracking and payroll management, offering dashboards that displayed working hours, visit efficiency, and overall performance metrics for caregivers. This enhanced operational oversight and ensured fair and timely compensation for medical staff.
